You can add notes to student records in bulk via the Application Index.
First, then select the applicants(s) you wish to update.
Once you've selected the applicants, click on Select Bulk Action --> Add Note
You can add Notes for an individual applicant on the Student Profile. To view a student’s profile, type the student’s name in the search box of the Application Index . Click the View button to open up the Student Profile and then scroll down to "Add Note":
Once you are ready to add a note, you will see this window. Each Note will allow you to categorize by selecting a Note Type:
Select the Note Type and enter the note's message. Click Add Note:
Success! You will see a green Success banner:
Notes will record the User who entered them, their Email, Date of entry, and all of the information added in the Note:
Can I delete a note?
Due to auditing purposes, as a best practice, we do not delete notes in student records. We understand that this can sometimes not be ideal, because it might clutter up your view. However, we believe that transparency and auditability is very important, and not something we should compromise on.
What many organizations do is submit another note stating that the previous note was incorrectly entered.
(Think about the case when 3 years down the line an upset parent comes with an email confirmation of the submitted application or declined application, you go to the system and but can't find it, and you do not have access to the old office manager from the school who has retired since).
Can a family view admin recorded notes?
- No, Admins are for internal school-use only. Parents will not see notes you make on applicant profiles.
- To communicate with parents directly, you can use the SchoolMint Communications tab or select individual parents through the Student Index.
